Redtail Integration Guide

Our Redtail integration allows you to pull client information into Holistiplan and push information to Redtail in the form of notes from Holistiplan.

Before You Begin

Before setting up the integration:

  • A Firm Admin must enable the Redtail integration for your firm.
  • Each user who plans to use the integration must:
    • Be an active Redtail user.
    • Enter their Redtail credentials under My Account in Holistiplan.

Note: If your Redtail credentials have not been entered under My Account, Redtail options will not appear throughout Holistiplan.


Enable the Redtail Integration (Firm Admin Only)

A Firm Admin only needs to complete this step once for the firm.

  1. Sign in to Holistiplan.
  2. Navigate to Settings & Integrations.
  3. Locate the Redtail integration.
  4. Click Enable.

Once enabled, individual users can connect their own Redtail accounts.


Add Your Redtail Credentials

Each user must connect their own Redtail account.

  1. Click My Account.
  2. Enter your Redtail username and password.
  3. Save your changes.

Configure the Default Redtail Notes Category

A default Redtail Notes Category must be selected by a firm admin before users can send tax reports or tax letters to Redtail.

  1. Navigate to Settings.
  2. Select Features & Tools.
  3. Click General.
  4. Scroll to Redtail Notes Category.
  5. Select the desired note category.
  6. Save your changes.

Important

This setting is configured once for the firm and determines which Redtail note category is used when Holistiplan sends tax reports and tax letters.


Import or Connect Households

There are two ways to link households with Redtail.

Choosing the correct option helps prevent duplicate households.

If... Use...
The household does not exist in Holistiplan Add Household from Redtail
The household already exists in Holistiplan Connect to Redtail

Important

Do not use Add Household from Redtail for households that already exist in Holistiplan. Doing so may create duplicate households and clients.


Add a New Household from Redtail

Use this option when creating a brand new household in Holistiplan.

  1. Select Add Household from Redtail.
  2. Search for the household.
  3. Select the correct household.
  4. If prompted, choose the appropriate unit or subsidiary.
  5. Complete the import.

Holistiplan imports:

  • Client names
  • Birth dates
  • Ages
  • Redtail connection information

Connect an Existing Household

Use this option if the household already exists in Holistiplan.

  1. Open the household.
  2. Click Connect to Redtail.
  3. Search for the matching Redtail client.
  4. Select the client.
  5. Complete the connection.

This links the existing household without creating duplicates.

Verify the Client Connection

A connected household does not always mean the client is connected.

Important

The primary client must be connected before Holistiplan can successfully send information to Redtail.

If reports or letters fail to send, verify the primary client connection first.


Re-sync Client Information

If client information in Holistiplan doesn't match Redtail:

  1. Click Re-sync.
  2. If the issue continues, disconnect the client.
  3. Reconnect the client to Redtail.

This commonly resolves:

  • Incorrect birth dates
  • Outdated client information
  • Synchronization issues

Send Information to Redtail

Holistiplan can send:

  • Tax Reports
  • Tax Letters
  • Age Reminders

Send a Tax Report

Open a completed tax report and click Send to Redtail.

The report is added to the client's Redtail record as a note.


Send a Tax Letter

Open a completed tax letter and click Send to Redtail.

If you've already sent the letter previously, select Update in Redtail instead.

Note

The Send to Redtail button only appears after the letter contains content.

If the button doesn't appear:

  • Verify the letter isn't blank.
  • Refresh the page.

Send Age Reminders

Open Age Reminders and send reminders for connected clients directly to Redtail.


What Syncs with Redtail?

Standard notes created within Holistiplan are not synchronized with Redtail.


Troubleshooting

I don't see Redtail options

Verify that:

  • Your firm's Redtail integration has been enabled.
  • You've entered your Redtail credentials under My Account.
  • You're an active Redtail user.

The household is connected, but sending to Redtail fails

Verify that the primary client is connected.

A household connection alone isn't sufficient.


Duplicate households were created

This usually happens when Add Household from Redtail was used instead of Connect to Redtail.

Remove the duplicate household, then connect the existing household instead.


Client information isn't updating

Try the following:

  1. Re-sync the client.
  2. Disconnect the client.
  3. Reconnect the client.

I can't find an imported household

Verify that:

  • You have access to the correct unit.
  • Your Redtail account has access to the appropriate subsidiary.

The "Send to Redtail" button doesn't appear

Verify that:

  • The tax letter contains content.
  • You've refreshed the page after generating the letter.

Enabling the Integration


  1. Enable the Redtail integration. Users with Firm Admin privileges can navigate to Settings > Integrations.

  2. Once on the Integrations Screen, you will want to look for the Redtail tile and toggle on the enabled/disabled button indicated below to enable the integration.

  3. Click on your user profile initials at the top-right and then "Account".

  4. Provide your Redtail login credentials in the respective "Username" and "Password" fields.

  5. Click "Establish Redtail Connection". Your connection between Holistiplan and Redtail is now complete!

Note: A firm admin may need to set a default note category before the integration can be used. The default note category can be selected by navigating to Settings >> Features & Tools > General and selecting a note type in the "Redtail Note Category" section. 


Importing Households and Contacts into Holistiplan


Add Client Household from Redtail to Holistiplan

When adding an entirely new household from Redtail, first navigate to the main Households page containing all your existing client households in Holistiplan.


If your Holistiplan account has enabled the Redtail integration, you should see the red button indicated below, which you can click to import an entire household from Redtail.


Once you click on the red button above, you will be directed to the window shown below to search for households in Redtail to import to Holistiplan. Begin typing the name of the household where outlined below and click the "Fetch Groups" button to search your Redtail database of households. 

NOTE: Depending on how your Redtail households are named, you may not be able to find the household you are looking for. You can "Fetch Groups" after only typing one letter in the box above, so try typing in fewer letters and searching if you are having difficulty locating households.

 


 

Add Client from Redtail to Existing Holistiplan Household

If you had previously imported a client household from Redtail to Holistiplan, you can use the "Import & Connect Clients" button indicated below to import additional Redtail clients from that  household into Holistiplan.

After clicking the "Import & Connect Clients" button, you will be presented with two options:

  1. Import from Redtail - This function allows you to search for a contact/client in Redtail using the search and fetch commands similar to importing households above, but on an individual client level.

    Click on the Import from Redtail button shown above, and a search and fetch window will appear as shown below.

    Begin typing the name of the client and click the "Fetch Clients" button to search your Redtail database of clients. 

  2. Connect to Redtail - This function allows you to connect clients already saved in Holistiplan with existing client/contact records in Redtail from which you would like to pull that data from Redtail over to Holistiplan to update the client information.




    Click on the Connect to Redtail button, and then select on an existing Holistiplan client within that household from the dropdown box. A window to search and fetch clients will then appear as shown below. 

    Start typing in the text field to search for the client you wish to import, and then click "Fetch Clients." Once you find the client you are looking for, click the "Import Client" button indicated above.


    You will then have a window appear that shows you the Redtail data and Holistiplan data saved for the client in the respective software programs. Click the "Update Holistiplan to Match Redtail" to update the Holistiplan client record with the information from Redtail.


 

Navigating Existing Holistiplan/Redtail Connections


Once households and client data have been imported into Holistiplan, you will see a red Redtail icon bubble under the "Connections" column for each client contact. 


By clicking on that red Redtail bubble, you can now:

  1. View that Contact in Redtail.
  2. Remove the Redtail Connection for that client.
  3. Resync the Holistiplan/Redtail Connection to update client data.

Note: The Redtail integration does not automatically sync information between Holistiplan and Redtail on an ongoing basis. When client information needs to be updated or re-synced, you will need to manually resync that information from Redtail as noted in #3 above.
