Wealthbox Integration Guide

Integrate your Wealthbox CRM with Holistiplan using the steps below.

Our Wealthbox integration allows you to pull client information into Holistiplan and push information to Wealthbox as notes or tasks from Holistiplan. Our June 2024 revamp makes improvements to the import and integration process, so if it's been a while since you interacted with the Wealthbox integration, some things may look a little different.

If you have already enabled the Wealthbox integration, you can skip to the Importing Households section of this article. Otherwise, start by enabling the integration below.

Enabling the Integration


  1. Enable the Wealthbox integration. Users with Firm Admin privileges can navigate to Settings > Integrations.




  2. Once on the Integrations Screen, you will want to look for the Wealthbox tile and toggle on the enabled/disabled button shown circled below to enable the integration.

  3. Navigate to your Wealthbox dashboard, and click on the three stacked dots on the top-right of your Wealthbox screen to access your Wealthbox settings.



  4. Select "Settings" to access your Wealthbox settings.



  5. Click on "API Access" under the menu selections on the left side of the screen.



  6. Click "Create Access Token"



  7. Click on the "Label" field, name your new token (e.g. Holistiplan), and click "Save." The new token will create a unique key that will be used to communicate between Holistiplan and Wealthbox. Do not share this key with others, as it serves as a unique access point between your two unique user account logins with each software.





  8. Highlight and select the new unique token you just created. You will copy this unique key to be pasted into Holistiplan in the next step.

  9. Return to your Holistiplan dashboard in a separate tab or window of your web browser. Click on your user profile name at the top-right and then "My Account / Password"





  10. Paste the API Key you copied from your Wealthbox tab/window into the "API Key" field. If you need to access the created key, you can copy it at any time from the API Access page within your Wealthbox section. 

    HINT: If the key is unsuccessful, make sure an additional space or character wasn’t added before or after the generated API Key, which invalidates the unique identifier.


  11. Click "Establish Wealthbox Connection." Once the connection is established, you will see a message in green text above the "API Key" field that says: "Credentials accepted by Wealthbox." Integrations functions are now available to you. Your connection between Holistiplan and Wealthbox is now complete!





Importing Households and Contacts into Holistiplan


Add Client Household from Wealthbox to Holistiplan

When adding an entirely new household from Wealthbox, first navigate to the main Households page containing all your existing client households in Holistiplan.


If your Holistiplan account has enabled the Wealthbox integration, you should see the blue button outlined below, which you can click to import an entire household from Wealthbox. If you do not see the blue button shown below, you can click here to follow the steps to enable that Wealthbox integration 


Once you click on the blue button above, you will be directed to the window shown below to search for households in Wealthbox to import to Holistiplan. Begin typing the name of the household where outlined below and click the "Fetch Groups" button to search your Wealthbox database of households. 

NOTE: Depending on how your Wealthbox households are named, you may not be able to find the household you are looking for. You can "Fetch Groups" after only typing one letter in the box above, so try typing in fewer letters and searching if you are having difficulty locating households.







Add Client from Wealthbox to Existing Holistiplan Household

If you have previously imported a client household from Wealthbox to Holistiplan, you can use the "Import & Connect Clients" button outlined below to import additional Wealthbox clients from that Wealthbox household into their Holistiplan household.
 


After clicking the "Import & Connect Clients" button, you will be presented with two options:

  1. Import from Wealthbox - This function allows you to search for a contact/client in Wealthbox using the search and fetch commands similar to importing households above, but on an individual client level.


    Click on the Import from Wealthbox button shown above, and a search and fetch window will appear as shown below.



    Begin typing the name of the client and click the "Fetch Clients" button to search your Wealthbox database of clients. 

    NOTE: Depending on how your Wealthbox clients are named, you may not be able to find the clients you are looking for. You can "Fetch Clients" after only typing one letter in the box above, so try typing in fewer letters and searching if you are having difficulty locating clients.



  2. Connect to Wealthbox - This function allows you to connect clients already saved in Holistiplan with existing client/contact records in Wealthbox from which you would like to pull that data from Wealthbox over to Holistiplan to update the client information.



    Click on the Connect to Wealthbox button shown above, and then select on an existing Holistiplan client within that household from the dropdown box. A window to search and fetch clients will then appear as shown below. 

Start typing in the text field to search for the client you wish to import, and then click "Fetch Clients." Once you find the client you are looking for, click the "Import Client" button shown outlined above.



You will then have a window appear that shows you the Wealthbox data and Holistiplan data saved for the client in the respective software programs. Click the "Update Holistiplan to Match Wealthbox" to update the Holistiplan client record with the information from Wealthbox.





Navigating Existing Holistiplan/Wealthbox Connections


Once households and client data have been imported into Holistiplan, you will see a blue Wealthbox icon bubble under the "Connections" column for each client contact. 


By clicking on that blue Wealthbox bubble, you can now:

  1. View that Contact in Wealthbox.
  2. Remove the Wealthbox Connection for that client.
  3. Resync the Holistiplan/Wealthbox Connection to update client data.

Note: The Wealthbox integration does not automatically sync information between Holistiplan and Wealthbox on an ongoing basis. When client information needs to be updated or re-synced, you will need to manually resync that information from Wealthbox as noted in #3 above.
